How your PA decides what to do with what you send
You do not have to fill forms. Say it, snap it or forward it — from the PA tab, an assistant, a script or a message — and your PA works out where it goes. This is the logic, so nothing it does is a surprise.
Where things go
- Food and drink become meals in Health (with a calorie estimate and a verdict, done by the app once the meal is saved).
- Movement becomes exercise; weight, water and sleep go to their own places on the day.
- Anything else about the day — who you met, how it went, an idea — becomes a journal note.
- Receipts, letters and screenshots are kept as documents on the day, with their files, and show in the Journal.
- Things to do become tasks; appointments become meetings (checked against your day rules for the school run).
Which day
The day is taken from the best clue available, in this order: the time the photo was taken (from the photo itself, when the sender kept it), then the time the message was sent, then the time it arrived. So a photo from Tuesday sent on Thursday lands on Tuesday. Times are Europe/London. If your PA had to guess, it says so in its reply — tell it "that was yesterday" and it moves the record.
Sure, or not sure
Your PA files something on its own only when it is sure what it is. A clear sentence ("had a wrap for lunch") is filed at once. A single photo with a word is filed. A pile of photos with no words is never guessed at: it keeps them together as one batch and asks one question — "meals, receipts, or something else?" — and your one-word answer files the lot, day by day. Removing something needs an even clearer instruction than adding it.
While something is waiting for your answer it shows as a strip at the top of the PA tab ("3 things waiting for your answer"). Tap it to see the batch and answer with one tap, or reply in the chat.
If you would rather it always asked first, your brand admin can switch off "PA files on its own".
Changing your mind
Everything your PA files carries an Undo on the message, for seven days. You can also just say what you want: "change that to a snack", "the meeting is at 3, not 2", "delete yesterday's note", "move that to Tuesday". It refers to what it can see — the days around your message, your open tasks, the week ahead and anything waiting in the inbox — and asks which one you meant when it is not obvious.
Getting things back out
"Show me the receipt from Tuesday" returns the photo in the reply — as a thumbnail in the planner, an image in an assistant, or a 24-hour link in a message. "Send me this week's meals as a CSV" returns a file the same way. An assistant or script can also read whole days or spans of days with their ids.
One thread
Whatever way you spoke to it, the conversation is one thread in the PA tab, with what was filed and what was undone. A meal you sent from WhatsApp is in Health straight away and in the thread with "via WhatsApp".
Allowances
Your plan sets a daily number of assistant calls and photo analyses. When photos cannot be looked at, your PA still keeps them and asks you what they are; when the calls are used up it keeps what you sent in the inbox and picks it up tomorrow.
